Start with the packet questions

Add a short family version: cost, deposit dates, possible fundraising offsets, and links or reminders for official forms.

Add an admin version: purpose, dates, rough cost, transportation notes, supervision owner, and the policies your program has to follow.

Use labels instead of private rosters

A bus or room worksheet can use bus labels, section groups, adult role labels, and counts.

Keep full names, medical details, emergency contacts, room assignments, addresses, and phone lists in the school-approved system or trip channel.

Travel approval, refund rules, deposits, supervision, medications, dietary accommodations, and required forms are local policy questions.
